This page covers our Privacy Policy, Cookie Policy, and Child Safeguarding and Image Consent Policy. We're a UK based photography, videography, web design and marketing business, founded in Yorkshire and based in the Midlands, operating UK wide.

1. Privacy Policy
Who we are
SB Studios is the data controller for the personal information described below. You can reach us by:

What information we collect
We collect information you give us directly through the contact points on this site, which currently include:
General enquiry form. Name, phone number, company (optional), email, your requirements, estimated budget, timeframe or preferred dates.
Wedding enquiry form. Your name(s), email, phone (optional), wedding date, how you heard about us, venue (if known), estimated budget, and an optional tick box to receive updates from us.
Direct contact icons and links. If you call or email us using the phone or email icons on the site, we receive whatever information is contained in that call or email, for example your phone number, email address, and the content of your message.
We do not currently send out any email updates or newsletters, even though the wedding form includes an opt in for this. No one has used either contact form yet. If that changes in future, this policy will be updated to name the tool used and explain how to unsubscribe.
How we use your information
We use the information you submit only to:
- Respond to your enquiry and discuss your project
- Prepare quotes, contracts, and invoices if you become a client
- Deliver the photography, videography, web design or marketing services you've booked
We do not sell your information, and we do not currently use it for marketing beyond replying to your enquiry.
Where your information goes and how long we keep it
Form submissions and direct emails go straight to our email inbox. We do not save enquiries into a separate CRM or spreadsheet.
- Enquiries that don't turn into a booking. Kept for a reasonable period (suggested: up to 12 months) in case you follow up, then deleted.
- Client information (bookings, contracts, invoices). Kept for as long as required for our contract with you and for our legal and accounting obligations. UK tax law generally requires business records to be kept for 6 years.
- Photos and videos from a booking. See "Photography and videography" below.
You can ask us to delete your information sooner. See "Your rights" below.
Photography and videography, how we handle your images
As a photography and videography business, we hold onto more than just contact details, we hold your images. Here's how we handle that:
- Ownership. Unless otherwise agreed in writing, SB Studios retains copyright over the photographs and video we create. You receive a licence to use your delivered images for personal use, for example printing, sharing, or social media.
- Portfolio and marketing use. We may use images from your session in our portfolio, website, or social media to showcase our work, unless you tell us in advance that you'd prefer we don't. You can opt out of this at any time by emailing hello@sbstudios.co.uk.
- Working files. While a project is in progress, working files are held on our internal backend storage.
- Delivery. Finished items are delivered to you via a secure, password protected link, not a public download:
- Commercial clients receive their finished items via a dedicated link (routed through an sbstudios.co.uk redirect) hosted on our own network storage.
- Wedding clients receive their products via PicTime (also routed through an sbstudios.co.uk redirect).
- Both delivery methods require a verification code plus email or login to access.
- We keep a backup copy of delivered images for 60 days after delivery in case you need a re-download, after which client access via the link may expire. Internally, we retain copies of images, videos, and deliverables indefinitely following your signed agreement, unless that agreement specifically states otherwise.
- People who aren't the client. Wedding and event photography often includes guests, family members, and sometimes children who haven't individually consented to being photographed. If someone appears in our work and would like an image removed or has concerns, they can contact us at hello@sbstudios.co.uk.
- Third party sharing. We don't share your images with third parties except where needed to deliver your service, for example a printing lab you've asked us to use.
Wedding clients, using Pic-Time for delivery
If you're a wedding client, your finished gallery is delivered through Pic-Time, a third party online gallery and print platform (accessed via an sbstudios.co.uk redirect). We're making this explicit so you know what to expect before you receive your gallery link:

Who's responsible for what. SB Studios remains the owner and controller of your photos. Pic-Time acts as a data processor, hosting and delivering the gallery on our instructions. It does not use your images for its own purposes.

What Pic-Time collects from you. To view your gallery, you (and any guests you invite) will register with a name, email address, and password, and Pic-Time logs access to the gallery. If you order prints or merchandise through the gallery, Pic-Time (or its payment and print partners) will also handle your delivery address and payment details for that order.

AI Photo Search and Face Grouping. Pic-Time offers an optional AI feature that groups photos by face to help guests find themselves in a gallery, for example finding yourself on the dance floor. This is off by default and only activates with explicit opt in consent. It's not used for identity verification and doesn't link faces to names.

Where data is hosted. Pic-Time hosts data on servers in the EU, US, and Australia, with company headquarters in Israel. International transfers are covered by standard contractual clauses.

SB Studios endeavours to keep these links up to date, but Pic-Time may update their policies at any time. Please check the links above directly for the most recent version before relying on this summary.
Web design clients, hosting and data handling
If you're a web design client, your website is hosted under SB Studios' own hosting account and infrastructure rather than a personal or third party account in your name. Domains are also typically registered and held by SB Studios through a third party provider on your behalf (ownership can be transferred to you on request, subject to an admin fee).
Any personal data collected through a website we build for you, for example via contact forms, is handled in accordance with UK GDPR. Where we act on your behalf as a data processor for your site's visitors, the specific arrangements (what's collected, where it goes, retention) are set out in your project agreement and, where applicable, in a dedicated privacy policy for that site.
Analytics
We use website analytics to understand overall visitor numbers and how people use the site. See the Cookie Policy below for full detail on what this involves and who it comes from.
Your rights
Under UK GDPR, you have the right to:
- Ask what personal information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete your information (subject to our legal and accounting retention obligations)
- Object to or restrict how we use your information
- Ask for a copy of your data in a portable format
- Complain to the Information Commissioner's Office (ICO) at ico.org.uk if you're unhappy with how we've handled your data

2. Cookie Policy
This website is built on the one.com Website Builder platform. Some cookies are set automatically by one.com as part of running the platform itself; others are added by us, SB Studios, on top of that (our cookie consent tool and Google Analytics). We've split them out below so it's clear which is which.
You can choose which types of cookies to allow, and change your preferences at any time via the cookie settings link in the footer. Your choice is stored for up to 12 months.

We also use Google Analytics, which sets its own cookies to measure visitor numbers and behaviour, separate from the one.com and SB Studios cookies listed above.
We don't currently use any advertising or social networking cookies.
3. Child Safeguarding and Image Consent Policy
We take particular care when our work involves photographing or filming children, whether at weddings, family sessions, or commercial shoots.
DBS checks
- Our Creative Director, Samuel Brownlow, holds an Enhanced DBS check.
- Contractors and freelancers working with us are not routinely DBS checked, unless a client's booking specifically requires it, for example school or organisation work with safeguarding requirements, in which case this will be arranged and confirmed in advance.
If your booking requires DBS checked personnel only, please tell us when enquiring so we can confirm the right people are assigned.
Consent for images of children
Any images of children appearing on this website or in our marketing are covered by the relevant parental or guardian permission, obtained as part of the client contract signed ahead of the shoot or wedding. If you have a concern about an image of a child appearing on this site, whether or not you were the person who booked the session, please contact us at hello@sbstudios.co.uk and we will address it promptly, including removal where appropriate.
Portfolio and marketing use
As set out in our Privacy Policy, we may use images from a session, including those featuring children where consented to, in our portfolio, website, or social media, unless you tell us in advance that you'd prefer we don't.
4. Insurance and Liability
SB Studios carries the following business insurance cover:
- Public Liability: up to £5,000,000
- Professional Indemnity: up to £1,000,000
- Employers' Liability: up to £10,000,000
Cover is underwritten via Simply Business. Where drone or aerial photography is included as part of a booking, this is carried out under separate specialist drone insurance arranged on an as and when basis, typically via Coverdrone, providing Aviation Third Party Liability cover of £2,000,000 per accident.
As this cover is arranged per shoot and underwriters may vary between bookings, specific policy references are available on request. Email hello@sbstudios.co.uk.
5. How We Work
Business Terms
SB Studios is operated by Samuel Brownlow as a sole trader. As Creative Director, Samuel directs the creative and strategic vision of every project. This title relates specifically to creative direction and doesn't create personal liability separate from SB Studios as the trading business. Clients contract with, and interact with, SB Studios as a whole, not with any individual in a personal capacity.
- Right to choose our clients. SB Studios reserves the right to decide whether or not to take on a particular project or client, at our discretion.
- Bespoke pricing. We don't operate a fixed public price list. Pricing is set on a bespoke, per project basis and isn't bound to a standard rate card.
- Contractors. Some work is carried out personally by Samuel, and some by freelance contractors working under the SB Studios name. Contractors are covered under SB Studios' own business insurance (see "Insurance and Liability" above) while working on SB Studios projects. Whether the work on a given project is done personally or by a contractor, clients deal with SB Studios as a single point of contact. See also the DBS and contractor note in the Child Safeguarding section above.

We may update these policies as our services, tools, or legal obligations change. The "Last updated" date at the top will reflect the latest version.
